Billing & driver pay

Drayage billing and driver pay, without the re-typing

Invoices draft on delivery with the right accessorials, and the paperwork is merged into one PDF. Driver pay is posted per leg. Everything comes from the shipment your team already built.

Where drayage billing goes wrong

Drayage invoices are easy to get wrong. A box sat on a chassis for six days but only two were billed. A pre-pull and three days of yard storage never made it onto the invoice. The customer pays late because the POD was not attached. Each miss is small. Together they add up.

DrayTech builds the invoice from what actually happened on the shipment, so the charges match the moves.

Invoices that draft themselves

  • An invoice draft is created when the load is delivered.
  • One invoice covers a multi-container delivery order, if that is how the customer wants it.
  • Drayage, fuel surcharge and accessorials are added from your rates.
  • Fees you paid at the terminal are passed through. See holds and terminal fees.

Billing is held while the empty is still out, so you do not invoice before the move is really finished. Street turns are the exception.

Accessorials that match the move

DrayTech handles the charges that make drayage different:

  • Fuel surcharge as a percentage of drayage
  • Chassis days, with your minimum, counted from the gate records
  • Chassis split when the empty returns somewhere other than the pickup terminal
  • Pre-pull to your yard
  • Yard storage by day, from arrival to departure
  • Tolls, tri-axle and overweight charges
  • Detention, backed by a GPS report of arrive and depart times

You set the rules per customer. Every trucking company bills a little differently, and DrayTech is built to follow your rules, not force new ones.

One PDF the customer can pay from

Customers pay faster when they have everything they need. DrayTech merges the invoice with the delivery order, POD, EIR and BOL into one PDF. Photos taken in the driver app become pages. The customer's accounts payable team gets one file, not five attachments.

Driver pay per leg

Drayage driver pay is usually per move, and moves are split across drivers. DrayTech pays the way drayage works:

  • Flat pay per leg, one line per leg for the driver who ran it
  • Pay rules by lane or city that you set once
  • Pre-pull and split moves paid to the right driver
  • Weekly or biweekly pay schedules per driver
  • Pay posted to payables as bills, ready to settle

When drivers hand in weekly sheets, DrayTech matches them against the legs on record so differences are easy to spot.

Accounting built in

DrayTech includes receivables, payables and a general ledger. Vendor invoices can be entered as bills. ACH payments need approval from authorized users, and amounts are confirmed and logged first. If you keep your books in another package, DrayTech can export to it.

Less re-typing, fewer misses

The container, customer, references and moves are entered once, when the delivery order is read. Billing uses the same data. That is the biggest reason invoices go out faster and with fewer missed charges.

Switching billing systems

When you move to DrayTech, you bill by delivery date: loads delivered before the cut-over date bill in your old system, and loads delivered on or after it bill in DrayTech. See switching from a legacy drayage TMS.
